Position Overview

Luxury fashion Nili Lotan is seeking a highly organized, hands-on Manager, Facilities & Retail Operations to oversee the day-to-day facilities needs of our New York corporate locations and support the operational execution of our growing retail footprint.

Reporting to the COO, this role will serve as the primary point person for facilities, maintenance, vendors, construction projects and new store openings across our corporate offices, LIC location and retail stores.

The ideal candidate is a resourceful operator with experience in multi-site retail environments who is equally comfortable managing day-to-day facilities needs and driving larger projects from planning through completion.

This is a highly execution-oriented role requiring strong project management, urgency, attention to detail and the ability to independently identify and resolve issues.

Key Responsibilities

Facilities & Office Operations

• Oversee day-to-day facilities management across the company's New York corporate offices and LIC location.
• Serve as the primary point of contact for landlords, building management and facilities vendors.
• Manage maintenance and repair needs including HVAC, electrical, plumbing, cleaning, security, and general building issues.
• Coordinate office improvements, furniture installation, moves, and space planning.
• Manage vendor relationships, service agreements, COIs, and recurring maintenance.
• Conduct regular site walks and proactively identify maintenance, safety, and operational needs.
• Develop preventative maintenance schedules and maintain records for equipment, warranties, service contracts, and building contacts.
• Manage facilities-related budgets, invoices, and project expenses in partnership with Finance.

New Store Openings & Construction

• Serve as an internal project manager for new store openings from initial planning through turnover to Retail.
• Partner with the COO, Retail, architects, general contractors, landlords and external vendors to maintain project timelines and deliverables.
• Track construction schedules, budgets, approvals, permits, utilities and key milestones.
• Coordinate operational workstreams including IT, security, fixtures, furniture, equipment, deliveries and vendor access.
• Conduct site visits throughout construction and maintain clear punch lists through completion.
• Ensure new locations are operationally ready ahead of opening.
• Escalate risks, delays and budget concerns early with recommended solutions.

Project Management & Administration

• Maintain clear project trackers, timelines, budgets and action lists across facilities and construction initiatives.
• Own follow-up with internal and external partners and ensure commitments are completed on time.
• Develop and maintain an approved vendor network across facilities and retail needs.
• Establish documentation and SOPs for recurring facilities and store-opening processes.
• Provide regular project updates to the COO with clear status, risks, decisions required and next steps.
• Support additional physical infrastructure and operational projects as the company grows.

Qualifications

• 5–8+ years of experience in retail operations, facilities management, store development, construction project management or a related operational role.
• Experience supporting a multi-location retail organization strongly preferred.
• Experience with new store openings, renovations and/or retail construction projects strongly preferred.
• Understanding of day-to-day retail operations and the impact facilities and infrastructure have on the customer and employee experience.
• Demonstrated ability to manage contractors, landlords, vendors and multiple concurrent projects.
• Strong project-management skills with exceptional follow-through.
• Comfortable reviewing project budgets, proposals, invoices, timelines and scopes of work.
• Highly resourceful and capable of independently troubleshooting problems.
• Strong written and verbal communication skills.
• Able to move comfortably between strategic projects and highly tactical execution.
• Comfortable working in a fast-paced, entrepreneurial environment where responsibilities may evolve.
• Ability to travel locally between New York offices, LIC and retail locations and periodically travel to other store locations/project sites as needed

What we offer:

Salary

While the published salary range is a good faith reflection of the targeted salary level for the position, Nili Lotan reserves the right to pay outside of the published range of $95,000-$110,000 annually .
